ASSISTANT PROPERTY MANAGER
REPORTS TO: Regional Property Manager
HOURS: Monday-Friday, 8:00 a.
m.
-5:00 p.

CLASSIFICATION: Non-Exempt SUMMARY: The Assistant Property Manager performs a wide variety of administrative and specialty duties to support the property management department under the supervision of the Regional Property Manager.
The position staffs the reception desk in the lobby of Building 209 on the West LA VA Campus while assisting management with administrative tasks to support the whole portfolio; compiles property performance measure data; generates timely, confidential and accurate reports on the performance of properties.
DUTIES: The following reflects essential functions for this job but does not restrict other tasks, which may be assigned: Staff reception desk, direct inquiries, check in guests, receive deliveries, retrieve and distribute resident and staff mail; Provide first response to resident and property emergencies during regular scheduled shift; Support accounts payable and accounts receivable processes through data entry on tracking sheets and property management software; Develop and maintain a broad knowledge of property management operations in order to provide support when needed; Assist in identifying and developing resources to improve operations including vendor lists, forms, checklists, and informational packets; Collect and enter data on the performance of properties in the portfolio such as occupancy rates and vacancy turnovers, delinquencies, leasing timelines, damage reports; generate timely and accurate reports from data; distribute reports to department management; Organize and maintain a variety of electronic and paper files and records on information related to the Housing Development department; Provide assistance with new computer software (Yardi) processes and systems; Attend team meetings; disseminate information as appropriate; Assist in development and maintenance of the Property Management folders in SharePoint; Perform related duties and responsibilities as assigned or required.
SKILLS: Excellent communication and intervention skills; Principles and practices of sound business communication; correct English usage including spelling, grammar and communication; Modern office management methods and equipment including multitasking, computers and supporting word processing, spreadsheet, database, email, internet, and other applications; Business letter writing and basic report preparation techniques; Research techniques, methods and procedures; Knowledge of industry standard property management practices, concepts and terminology; Local, state and federal fair housing laws; California Landlord Tenant Law and tenant rights; applicable regulations related to accessibility for disabled persons.
QUALIFICATIONS: (Education & Experience) Associate degree with administrative experience required.
Bachelor degree preferred.
Asset or property management experience preferred Previous experience with Yardi preferred Previous experience with individuals experiencing mental health issues and/or homelessness preferred Current valid CA driver’s license required SUPPLEMENTAL INFORMATION: Work with people experiencing homelessness whether on the streets, in shelters or other places of habitation or services, may present inherent challenges and difficulties such as: exposure to bed bugs or other infestations, unpleasant smells or odors, individuals who may have poor hygiene or unclean homes due to homelessness, mental health symptoms, or poverty.
Additionally, in working with our members, employees may encounter instances of profanity, sexually explicit or derogatory language, or verbal or physical expressions of anger and trauma.
Very rarely do these situations ever escalate to physical contact, and negative or derogatory communication patterns can often be negotiated successfully.
All direct care staff are provided adequate training to develop skills to deescalate crisis situations that may arise and Step Up has established procedural safeguards for all employees to mitigate (but not eliminate) these inherent risks of employment.
PHYSICAL REQUIREMENTS: While performing the duties of this job, the employee is regularly required to sit; use hands and fingers; handle or feel; reach with hands and arms; talk; and hear.
The employee is frequently required to walk, balance, stoop, kneel, and/or crouch.
The employee must occasionally lift and/or move up to 15 pounds.
Specific vision abilities required by this job include close vision, distance vision, peripheral vision, depth perception, and ability to adjust focus.
Keyboard data entry required.
