Scheduling Specialist/Front Office Job Description:
Under the direction of the Front Office Supervisor and the Executive Director, the Scheduling specialist will schedule patient’s appointments as they check out as well as follow up of pending appointments.
Handling patients in the office as well as dealing courteously over the phones.
Responsibilities and Competencies:
Views the daily visit list, several times throughout the day, checking for appointments that have been added on by Physicians with new orders, as well as future appointments.
Greets patients and visitors in a prompt, courteous and helpful manner, acknowledging their presence.
Patients that need screening mammograms or other Radiology that’s routine in nature and not of an urgent matter, the patient can be given the orders to schedule directly, faxing over order as well.
Assists Radiology scheduling for coverage as needed.
Chemo scheduling will be handled between the nursing department and Scheduling department as well, working closely together.
Making sure treatments are scheduled according to Protocols and making sure authorizations are obtained prior to treatments.
Making sure all chemo patients have been scheduled for the next day, with no “unscheduled” appointments for chemo/treatments.
Making sure all chemo appointments have name of regiment typed into the “comment field” of appointment.
Retrieves phone messages throughout the day, returning calls promptly or at least with a call to the patient letting them know you are taking care of things.
Maintains confidentiality of all patient and practice information, and abides by all HIPAA rules and regulations.
Other duties and projects as assigned.
Requirements:
Graduation from accredited High School required.
Knowledge of medical practice and terminology required.
Front Desk/office with customer service experience required.
Computer experience/skills and typing of >25 words/min.
required.
Excellent people skills, verbal skills and multi-tasking skills in a fast paced environment required.
Graduation from business school/college/and or business courses helpful.
Medical assistant or secretarial training helpful.
Must be able to stoop, bend, walk, sit for long periods, and have adequate hearing and sight.
Salary Range: $18 - $27 per hour
